Summary Position: Bank Street Education Center (the Ed Center), a division within Bank Street College of Education (the College) created to support the College’s work with school districts, is currently seeking a Director of Finance & Operations to liaise with key teams across the College to lead work streams related to strategic budgeting and financial systems, operational management, and human resources across the Ed Center division.
Key relationships: The Director of Finance & Operations will report to the Vice President (VP) at the Ed Center and work closely with members of Ed Center Leaders, the Ed Center Divisional Support Team, as well as members of the College’s Strategy & Operations team.
Responsibilities: In collaboration with the Ed Center’s leadership team and the College’s Strategy & Operations team, the Director of Finance & Operations will be responsible for ensuring that all operational aspects of the Ed Center are functioning at a high level in alignment with College-wide practices, with particular focus on:
College-wide:
- Providing thought leadership and collaboration on the College’s Strategic Plan development and budget sustainability
- Making recommendations and supporting decision-making across divisions with leadership connected to strategic budgeting decisions that are often driven by complex funding requirements and constraints
Divisional:
Strategic Budgeting and Budget Management
- Strategic budgeting and projecting financial targets with the Ed Center VP and fellow Ed Center Leaders
- Thought leadership with key team members across the Ed Center and Strategy & Operations around effective approaches and systems to ensure financial sustainability in the Ed Center’s portfolio of partnerships
- Partnering with divisional and College leadership to develop potential project and team budgets aligned to the mission of the Ed Center as well as the Ed Center’s and the College’s strategic plans
- Generating regular budget reports that provide easy-to-understand snapshots of budget performance that facilitate decision-making for project or Ed Center and College leadership
- Liaising with teams to support the day-to-day execution of budget transactions, including allocating, scheduling, and modifying funds and budgets
- In partnership with team leads, designing and maintaining systems and tools for budget oversight and support
Contracts & Grants Management
- Setting up systems necessary for managing and complying with the contracting and reporting guidance from multiple funders including private foundations, federal and city grants, and city/state education departments
- Overseeing and executing the development of new cost models for external work with partners, often with quick turnaround to support proposal development and refinement (e.g., RFPs and MTACs with the NYC DOE)
- In partnership with team leads, overseeing the development and tracking of all consultant contracts by establishing guidance and templates to support that process including the creation and regular updating of easy-to-access trackers to support
- In partnership with team leads, designing a system for overseeing the client invoicing process including working with project teams, College staff, and partners to create and track invoices and time as necessary
- In collaboration with the Business Office and relevant team members, overseeing and generating financial reporting for grants, contracts, and potentially other funding sources like endowment funds
Operations
- Partnering and liaising with Strategy & Operations to ensure the Ed Center staff understand the organizational policies, processes, and structures of the institution and collaborate with the teams to adapt and/or develop policies or processes needed
- Supporting the development of reports or updates for a range of constituents in a range of formats for board members, office of communications, the Division of Development and Alumni Relations, and other key stakeholders
Human Resources
- Working closely with the College’s Chief Human Resources Officer and their team, and in partnership with the Divisional Support team and team leads, to address HR-related questions and action for the Ed Center
- Collaborating with the College’s HR and IT teams to support Ed Center staff with onboarding and offboarding activities in alignment with College-wide policies and practices
- Coordinating with HR, Ed Center Leaders, and the Divisional Support team to codify and implement talent acquisition and staff development strategies aligned to the needs of the Ed Center as well as with consideration for College-wide practices
- In partnership with the HR team, updating and maintaining a clear and accessible resource outlining Ed Center specific operating procedures and information to compliment the College’s personnel handbook and its associated policies, programs, and related information
Qualifications
Skills & Knowledge
- Demonstrated ability to lead the implementation of an organizational change strategy; ability to design systems or processes to solve a problem
- Strong relationship-building and collaboration skills, as well as the ability to work effectively as part of a team and with personnel at all levels of the organization
- Ability to design and manage complex team and divisional budgets
- Strong verbal and written communication skills in both virtual and in-person settings
- Problem resolution and organizational skills including ability to manage multiple projects, navigate ambiguity, and set priorities for oneself and the team in a fast paced, dynamic environment
- Strong analytical and problem-solving skills; familiarity with quantitative and qualitative analytic strategies and programs
- Advanced skills using Google suite and Microsoft Word, PowerPoint, and Excel, specifically, advanced formulas, pivot tables and charts
Experiences
- At least five years of professional experience supporting financial management and operations work in a non-profit or education-focused organization
- Understanding of the current educational and organizational ecosystems in which school systems function
- Experience planning and managing complex projects towards results
- Experience in institutions of higher education or other organizations focused on adult learning and funded through grants and contracts
