DEFINITION OF POSITION
Coordinates and supports activities related to leadership coaching certification and selection process, professional development for coaches and supporting related programs through ACSA’s Learning Management System (LMS).
ESSENTIAL DUTIES & RESPONSIBILITIES
- Prepares schedule and manages registration workflow for ACSA’s Professional learning programs
- Provides support to presenters; prepares and distributes materials to program participants
- Maintains professional learning webpages via ACSA’s content management system
- Monitors video conference session as to ensure effective program delivery and enhance participant experience
- Develops, implements and analyzes evaluations for assigned professional learning programs
- Finalizes fiscal and program year end reports for assigned professional learning program
- Prepares and disseminates participant communications, tracks attendance and serves as point of contact
- Research and verify completion of requirements and certification of coaches for program eligibility to the Clear Administrative Credential Program (CACP).
- Advises coaches and coordinators regarding program requirements.
- Analyzes and monitors program to ensure proper program requirements and program changes are met.
- Provides current and on-going information program status to Credential Program Director.
- Prepares and maintains a variety of files and records to document compliance with the program requirements and Educational Code.
- Conducts follow-up correspondence and coordination with coaches to complete program application and contract requirements.
- Assists in the preparation of correspondence and memoranda, independently, or from oral instructions
- Maintains efficient and accurate credential, application and program information on coaches consistent with established record keeping requirements.
- Prepares accurate and timely accounting of contracts, fees, purchase orders, invoices and maintenance of records.
- Explains and interprets program policies, procedures, rules and regulations in response to in inquires; refers inquires as appropriate.
- Performs a wide variety of administrative clerical work including filing, checking, recording information, photocopying and printing material.
- Coordinates a large volume of paperwork. Prepares, receives and organizes a variety of forms, applications and other documents related to area of responsibility.
- Maintains and distributes updated lists of coaches as necessary
- Performs other duties as assigned.
MINIMUM QUALIFICATIONS
Knowledge of:
- Excellent organizational and management practices and procedures. This is repetitive
- Effective time and project management techniques.
- English usage, spelling, grammar and punctuation.
- Advanced proficiency in Microsoft Office Suite (Word, Excel).
- Excellent organizational skills.
- Record keeping principals and procedures.
- Research techniques sufficient to collect, organize and report data in both narrative and statistical formats
Ability to:
- Establish and maintain effective working relationships with members of association, the general public, other staff and work as a tea, member.
- Communicate effectively, both orally and in writing.
- Maintain confidentiality of sensitive information.
- Understand broad and intricate details of the CACP and provide clarification
- Understand and communicate California Clear Administrative Services Credential requirements and related Educational Code.
- Learn new software (ex., Google Drive, association management system tools).
- Provide excellent customer service.
- Multi-task and work within time-sensitive deadlines.
- Work independently and set priorities.
Experience:
Minimum of four years of progressively responsible administrative support work.
Experience in an educational setting comparable to the area of assignment and management of clerical staff preferred.
Training/Education:
Associate’s Degree in Business Administration, Project Management or related field; Bachelor’s Degree preferred.
